Pool Ninjas ("Pool Ninjas," "we," "us," or "our") operates the website poolninjastn.com and an internal operations application used by our staff to run our pool-service business. This Privacy Policy explains what information we collect, how we use it, and how we protect it, including information we access through our connection to QuickBooks Online.
From our website. When you request a quote or contact us, we collect the information you provide (typically your name and phone number) so we can respond and provide the service you asked about.
From our service operations. To provide pool cleaning, repair, and related services, we maintain customer records such as name, service address, contact details, pool details, service history, and billing/invoice information.
From QuickBooks Online. Our operations application connects to Pool Ninjas' own QuickBooks Online company file to read accounting data (chart of accounts, products/services, invoices, and payments) so we can view revenue and outstanding balances inside our own tools. This is our own business's financial data; the integration is used solely for Pool Ninjas' internal operations and reporting.
We do not sell your personal information, and we do not use QuickBooks data for advertising or share it with third parties except the service providers described below.
If you give us your mobile number — on a form on this site, or when you sign up for service — we may text you about your enquiry and your service: a reply to your request, a heads-up that your technician is on the way, a change to a scheduled visit, an update on repair work, and answers to questions you send us.
Mobile phone numbers collected for text messaging are never sold, shared, or transferred to third parties or affiliates for their own marketing or promotional purposes. No mobile information is shared with third parties except the messaging providers who deliver the messages for us.
Message and data rates may apply, and message frequency varies. Reply STOP at any time to opt out, or HELP for help. Consent to receive text messages is not a condition of buying anything from us.
Pool Ninjas technicians use a mobile app to do their work. It is not available to the public: a person can only sign in if we have already added their phone number to our employee list. This section describes what that app collects from our own staff.
Location. When a technician taps Clock In, the app records the location of their device at that moment. We use it to confirm that a technician is at work when their paid time starts. The app asks for location only while it is in use. It does not follow a technician in the background, and it does not record their location between clock-in and clock-out. Managers can see the clock-in location on that employee's time entry.
The app asks for location permission the first time a technician clocks in. Location is required to clock in: a technician who refuses the permission cannot clock in through the app, and needs to arrange their hours with their manager instead.
Photos. Technicians photograph pool equipment and completed work at each stop. Some checklist items require a photo. These photos are attached to the service visit and are visible to Pool Ninjas managers; some are included in the service report we email to the customer for that visit.
Work records. The app also stores what a technician records at each stop: water readings, chemicals added, checklist items, notes, and any equipment problem they report. Together with the employee's name, phone number and email address, these form our business records.
None of this is sold, and none of it is used for advertising or shared with anyone for their own marketing. It is used to run the business, to pay staff correctly, and to show customers what was done at their pool. A technician can delete their app login from inside the app; the employment and work records the company is required to keep are business records and are retained as described under Data retention below.
We use trusted third-party services to run our business, and information is shared with them only as needed to provide their service to us:
Each provider maintains its own privacy and security practices. Tokens and credentials used to connect to these services (including QuickBooks) are stored securely and are never shared.
We restrict access to our operations application to authorized Pool Ninjas staff, store data with reputable hosting providers, and protect integration credentials (such as QuickBooks OAuth tokens) using secure, access-controlled storage. No method of transmission or storage is completely secure, but we take reasonable measures to protect your information.
We retain customer and business records for as long as needed to provide services, meet legal, tax, and accounting obligations, and resolve disputes. You may ask us to remove personal information we are not required to keep.
You may contact us to review, correct, or request deletion of the personal information we hold about you. If you no longer wish to receive text messages from us, reply STOP or let us know and we will stop.
